How to Merge, Split & Reorder PDF Pages for Applications
Combine certificates into one PDF, pull out the pages you need, fix page order and rotation, then shrink it under the upload limit. Step by step.
To merge PDFs, add the files to a merge tool, put them in order, and download one combined file. To split, choose the pages you want and save them as separate PDFs. To reorder, open the PDF in an organiser, drag the page thumbnails into the right order, and save. All three take under a minute with merge PDF, split PDF and organize PDF.
Below is how to use each one for common real tasks, such as uploading certificates to an application portal or submitting an assignment as a single file.
When you need each operation
| Task | Tool |
|---|---|
| Upload all your mark sheets as one file | Merge PDF |
| Submit an assignment made of several scanned parts | Merge PDF |
| Send only pages 3 to 5 of a long document | Extract PDF pages |
| Break a 40-page scan into one file per certificate | Split PDF |
| Remove a blank page or the back side of a scan | Delete PDF pages |
| Fix pages in the wrong order | Organize PDF |
| Fix sideways or upside-down pages | Rotate PDF |
| Get under the upload limit | Compress PDF |
How to merge PDFs
- Open merge PDF and add your files.
- Drag them into the order the form or teacher expects. A sensible default for applications is: identity document, then certificates from oldest to newest, then any supporting documents.
- Download the combined PDF.
- Open it and scroll through every page before uploading.
If some documents are photos, not PDFs, convert them first with JPG to PDF or image to PDF, then merge.
How to split a PDF or extract pages
There are two common needs:
- You want a few specific pages. Use extract PDF pages and type a range like
1-3, 7. You get one new PDF containing just those pages. - You want to break the file into parts. Use split PDF to save each page, or each range, as its own file. This is useful when a portal asks for each certificate as a separate upload.
Either way, your original file is not changed.
How to reorder, rotate and delete pages
Scanned documents often come out in the wrong order, especially double-sided scans, or with pages sideways.
- Open the file in organize PDF.
- Drag page thumbnails into the right order.
- Remove blank pages or unwanted back sides. You can also do this with delete PDF pages.
- If only rotation is wrong, rotate PDF turns individual pages or the whole file by 90 or 180 degrees.
- Save and check the result.
These tools work in your browser, so your certificates and ID documents are not uploaded to a server.
Getting under the file size limit
Application portals often cap uploads at 100 KB, 200 KB, 500 KB or 1 MB. A merged file of several scans can easily be several MB.
- Merge and tidy the file first, so you only compress once.
- Compress to the exact limit, for example with compress PDF to 200 KB or compress PDF to 500 KB.
- Open the compressed file and zoom in. Text, seals and signatures must still be readable.
- If it is still too large, remove pages that were not asked for, or rescan at a lower resolution (around 150 to 200 DPI is usually enough for text documents) and in greyscale instead of colour.
Assignments and project reports
For college submissions:
- One file, in order. Cover page, declaration or certificate, index, chapters, references, appendices.
- Number the pages after the final merge with add page numbers to PDF, so numbers run continuously across all parts.
- Name the file clearly, for example
RollNo_Name_Subject_Assignment2.pdf, unless your teacher gives a format. - Check the last page. It is easy to leave out the final scanned page when merging.
Doing it on a phone
You do not need a laptop. On Android or iPhone, open the tool in your phone's browser, tap to choose files from your file manager or Downloads folder, and the combined or split PDF is saved to your Downloads when you tap the download button. A few phone-specific tips:
- Files received on WhatsApp or email often sit in a different folder. Save them to Downloads first so they are easy to find.
- Rename the final file before uploading, because downloaded files often get generic names like "merged.pdf".
- Close other heavy apps if you are working with a very large scan, so the browser has enough memory.
Tips for clean scans before you merge
- Scan or photograph on a flat surface in even light.
- Use a scanner app that crops edges and straightens the page.
- Keep all pages the same orientation and roughly the same size.
- Scan both sides only if the back has content.
- Avoid shadows from your hand or phone.
Common mistakes
- Uploading pages in the wrong order. Verifiers may reject or delay applications where documents are hard to follow.
- Including pages the form did not ask for. This adds size and can confuse reviewers.
- Over-compressing. A file under the limit is useless if the marks or roll number are unreadable.
- Merging password-protected PDFs. Some bank statements and e-documents are locked. Unlock them with the password in the app that issued them before merging.
- Mixing portrait and landscape pages without rotating. Reviewers have to turn their heads, and some portals display them badly.
- Not opening the final file. Always check the file you are about to upload, not the one you think you made.
A simple order works for almost every application: fix the pages, merge, number if needed, compress to the limit, then check once more before uploading.
Questions
How do I combine several PDFs into one file?
Open a merge PDF tool, add the files, drag them into the order you want, and download the combined file. Check the page order before uploading.
How do I take only some pages out of a PDF?
Use an extract pages tool and enter the page numbers you need, such as 1-3, 7. You get a new PDF with only those pages and the original stays unchanged.
My merged PDF is too big for the form. What now?
Compress it to the limit with a PDF compressor, for example to 200 KB or 500 KB. If it is still too large, remove pages the form did not ask for or rescan at a lower resolution.
Can I merge photos and PDFs together?
Convert the photos to PDF first with a JPG to PDF tool, then merge that file with your other PDFs.
